Keep the stages separate

Accounts researched, contacts found, messages sent, replies received, qualified conversations and meetings are different events. Combining them into one headline “lead” count hides the useful information. Define each stage before launch, and use the same definition throughout the campaign. Your report should help answer where progress slows and what to change next.

Use the right denominator

A reply rate means little without knowing whether it uses contacts, messages or delivered emails as its denominator. A contact may receive several touches, so counting messages can make comparisons misleading. State the unit, timeframe and population alongside any rate. Keep different channels separate unless there is a clear account-level method for combining them.

Read reply quality before celebrating activity

Replies include referrals, objections, timing information, unsubscribe requests and expressions of interest. Categorising them makes the campaign more useful. A large number of polite rejections may reveal a targeting problem. A smaller group of substantive questions can reveal a message worth developing. Avoid treating every response as a commercial opportunity.

Follow the handover into sales

Booked meetings are an intermediate outcome. Attendance, fit and the next commercial step provide additional context. Your sales team should feed back whether the right person attended and whether the conversation matched expectations. This does not make the agency responsible for every part of closing; it makes the qualification process better informed.

Avoid false certainty from small tests

A handful of replies cannot establish a reliable long-term conversion rate. Track the sample size and test one meaningful hypothesis at a time. Changes in account selection, timing or channel mix can explain a difference that appears to come from copy. The useful question is what the evidence supports, not which variant can be labelled a winner fastest.

Use numbers to decide

A report should end in a decision: continue, narrow a segment, change a message, improve data or revisit the offer. There is no universal benchmark that substitutes for your campaign context.
